Job Brief

The Coordinator is responsible for scheduling the inspection and verifying vehicle availability, as well as ensuring the proper resources are being gathered from the shop location and the customer/vendor.  The coordinator is responsible for inputting the inspection, pictures and all other information needed for the inspection.  The position is the direct line of communication between the vendor, customer, inspector and shop management.   

Duties and Responsibilities

  1. Verify the vehicle is at the assigned location and validate unit availability/accessibility.
  2. Create and manage a FootPrint in the"Managed Maintenance and Inspections"section until completed.
  3. Locate nearest TA Truck service location.  Provide all instructions and forms both written and verbal.
  4. Select the correct location and technician based on the work requested.
  5. Keep GM and DM current on progress, issues and completions.
  6. Monitor and communicate as needed with the technicians performing the work.
  7. Verify that pictures and forms are of approved quality prior to tech leaving the vehicle's location.
  8. Upload all pictures and data to the shared drive folder/ customer's platform (where applicable).
  9. Organize data into folders. In some cases insert and organize pictures into PowerPoint then print to PDF.
  10. Assist with updating training materials and process improvement.
  11. Assist with reconciling discrepancies between customer/vendor and location representatives.
  12. Must help manage the communication and relationship between customers and internal departments to include location personnel.
  13. Must stay abreast of communications between customers and locations and influence them when necessary


  1. High School diploma required, Bachelor’s Degree preferred
  2. Experience in the TA/Petro system is helpful
  3. Basic knowledge of trucks/trailers is helpful
  4. Must have strong customer service skills
  5. Effectively communicates with customer/vendor and internal personnel, written and verbally.
  6. Ability to access needed websites
  7. Must be able to work flexible schedules and travel to meet the training demands
  8. The ability to update and train curriculum as needed to the locations
  9. Must have adequate computer skills to locate data on the internet and transmit that data to TA Truck Service locations via email and fax
  10. Excellent verbal and written skills required
  11. Proven ability to work under pressure
  12. Self- motivated
  13. Able to multi-task 
  14. Must have good interpersonal skills
  15. Good organizational skills are required
  16. Must maintain a high level of professionalism
